Qualifications & experience required
- Matric
- Facilities Management diploma or certificate beneficial
- 3+ years of experience in leading a facilities management team with demonstrated ability to work cross functionally
- Well-versed in technical/engineering operations and facilities management best practices
- Knowledge of basic accounting and finance principles

Duties & Responsibilities
Property Management
- Oversee the day-to-day upkeep of the property’s facilities and utilities, such as structures, HVAC systems, plumbing, appliances, furniture, landscaping, and energy management
(incl. the generator) - Maintain stock levels within budget
- Ensure that the property meet government regulations and environmental, health and security standards
- Ensure that building plans and drawings are up to date and stored accordingly
- Maintain the equipment used for maintenance purposes
- Oversee the maintenance of common areas of the property (this includes but is not limited to cleaning, carpet repair, wall coverings, ceilings, and lighting)
- Conduct regular inspections of the building to identify possible repairs and renovations
- Plan and coordinate all installations (telecommunications, heat, electricity, etc.) and refurbishments;
• Engage with third-party workers to ensure the smooth operation of the property - Supervise the design and maintenance of the property’s grounds and landscaping
- Follow through on performance obligations of service providers.
- Serve as primary contact for incident notification, investigation, and case management
- Maintain a written log of safety inspection activities, reports, and correspondence
- Guarantee that all work is performed in accordance with approved manuals, internal policies and procedures, contract documents, and best industry practices
- Oversee the maintenance of all security-related equipment (ex. Biometric systems)
- Safeguard the property and grounds from damage or loss
- Onboard and removal of tenants in line with lease agreement and rules of the building
- Ensure rules are adhered to with regards to visitors to the building
Tenant Management
- Ensure that vacant spaces are clean and in a showable condition
- Receive and deal with tenant feedback related to property management and maintenance
- Show property to prospective tenants, discuss leasing and occupancy terms, and collect fees
- Oversee all tenant-related admin such as contracts
- Receive and deal accordingly with all service requests from tenants
General Duties and Responsibilities
- Maintain ongoing communication with contractors, clients, and team
- Deal with any budgeting and documentation related to managing the property
- Participates in team meetings and provides regular on-site project presence
- Report on the status of projects to business leaders
- Keep current on all the necessary licenses, permits, and certifications required by company policy
- Respond to emergency maintenance situations
- Ensure the most cost-effective materials and labour rates without compromising quality
- Manage parking reservations and requests
- Oversee the maintenance of parking bays
- Creating reports on maintenance, repairs, safety, and other occurrences for supervisors and other relevant staff
- Review utility consumption and strive to minimize costs
- Ability to read and interpret work from drawings, written work orders, sketches, blueprints, and technical manuals
- After-hours availability via cell phone for emergency incidents to be resolved
